Field Task Management

Addon Required

This feature requires the Field Task addon to be enabled.

Field Task Management allows managers to create, assign, and track tasks for field employees. Tasks can be linked to specific clients or assigned to open locations, and progress can be monitored through a dashboard, calendar, map view, and detailed reports.

Dashboard

Navigate to Field Task Management > Dashboard to view task overview statistics.

The dashboard provides a summary of your field task operations:

  • Statistics Cards: Total tasks, completed tasks, in-progress tasks, overdue tasks, and counts by priority level (high, normal, low), plus today's task count and overall completion rate
  • Top Performers: Employees with the highest task completion counts over the last 30 days
  • Upcoming Tasks: Tasks scheduled within the next 10 days
  • Status Distribution: Chart showing task counts by status
  • Priority Distribution: Chart showing task counts by priority level

All Tasks

Navigate to Field Task Management > All Tasks to view and manage all field tasks.

Viewing Tasks

The task list displays all tasks in a data table with the following filters:

  • Status: New, In Progress, Completed, On Hold, Cancelled, or Closed
  • Priority: Urgent, High, Normal, or Low
  • Employee: Filter by assigned employee
  • Client: Filter by associated client
  • Task Type: Client-based or open tasks
  • Date Range: Filter by task date

Each row shows the task title, assigned employee, client or site, priority, status, scheduled dates, and estimated duration.

Task Statuses

Task Priorities

Create Task

Navigate to Field Task Management > Create Task to assign a new task.

  1. Select the Task Type:
    • Client-based: The task is linked to a specific client. Select the client, and the location is set from the client's registered address.
    • Open: The task is for a general location. Enter the latitude, longitude, and maximum radius manually.
  2. Select the Employee to assign the task to
  3. Fill in the task details:
    • Title: Brief description of the task
    • Description: Detailed instructions or context
    • Date: The scheduled date for the task
    • Priority: Urgent, High, Normal, or Low
    • Due Date: When the task must be completed by
    • Estimated Duration: Expected time to complete the task
    • Notes: Additional notes for the field employee
  4. Save the task

The assigned employee receives a push notification when a new task is created.

Task Updates

Managers and employees can add updates to a task. Updates can be:

  • Comments: Text-based progress notes
  • Documents: File attachments such as photos or documents

Each update triggers a push notification to the assigned employee.

Task Calendar

Navigate to Field Task Management > Task Calendar to view tasks on a calendar.

The calendar displays tasks as events based on their scheduled dates. Features include:

  • Drag and Drop: Move tasks to a different date by dragging them on the calendar. The task date is updated automatically.
  • Filters: Filter by employee, client, priority, or status to focus on specific tasks
  • Click to View: Click on a task event to view its details

Map View

Navigate to Field Task Management > Map View to see tasks and employees on a map.

The map displays task locations alongside field employee positions. Available filters:

  • Status: Filter by task status
  • Priority: Filter by priority level
  • Employee: Filter by specific employee
  • Date Range: Filter by date range

This view helps managers visualize task distribution and employee proximity for efficient task assignment.

Reports

Navigate to Field Task Management > Reports to access task analytics.

Task Completion Report

Navigate to Reports > Task Completion Report.

Shows task completion statistics including total tasks, completed tasks, overdue tasks, and completion rate. Includes a trend chart showing task completion over time.

Employee Performance Report

Navigate to Reports > Employee Performance Report.

Evaluates each employee's task performance with metrics including total tasks assigned, tasks completed, overdue tasks, average duration, average distance, and a performance score.

Priority Analysis Report

Navigate to Reports > Priority Analysis Report.

Analyzes tasks by priority level with statistics including task distribution across priorities, completion rates per priority, average duration per priority, and overdue counts by priority.

Settings

Navigate to Field Task Management > Settings to configure the Field Task addon.

Available settings include:
