Overview

This guide covers the core functionality of Open Core Business Suite's web interface. After logging in, you'll have access to a comprehensive dashboard and navigation system tailored to your role and permissions.

Dashboard

The dashboard is your central hub for monitoring key metrics and accessing quick actions.

Key Metrics

Depending on your role and enabled modules, the dashboard displays:

  • Employee Count: Total active employees in your organization
  • Attendance Summary: Today's present, absent, and late employees
  • Pending Approvals: Leave requests, expense claims, and other items awaiting your action
  • Announcements: Recent company announcements and notices
  • Quick Stats: Department-wise breakdowns, upcoming holidays, and birthdays

Widgets

The dashboard uses a widget-based layout. Common widgets include:

The main navigation menu is located in the left sidebar. Menu items are organized by functional area:

Core Navigation

  • Dashboard: Main overview and metrics
  • Employees: Employee management and directory
  • Departments: Organizational structure
  • Designations: Job titles and positions
  • Shifts: Work schedule management
  • Holidays: Company holiday calendar

HR Management

  • Attendance: Time tracking and reports
  • Leave: Leave management and approvals
  • Payroll: Salary processing (if module enabled)
  • Recruitment: Hiring pipeline (if module enabled)

Administration

  • Settings: System configuration
  • Users: User account management
  • Roles & Permissions: Access control
  • Audit Logs: System activity tracking
Navigation Customization

Menu items are permission-based. You'll only see options relevant to your role.

Quick Actions

Quick actions provide shortcuts to frequently used features:

From the Header

  • + Add Employee: Quickly add a new employee
  • Notifications: View system notifications
  • Search: Global search across the application
  • Profile Menu: Access your profile and logout

From the Dashboard

  • Mark Attendance: Quick attendance entry
  • Apply Leave: Submit a leave request
  • Create Task: Add a new task
  • View Reports: Access reporting section

User Profile Management

Accessing Your Profile

Click your avatar in the top-right corner and select My Profile.

Profile Information

Your profile page displays:

  • Personal Details: Name, email, phone, address
  • Employment Info: Employee ID, department, designation, joining date
  • Bank Details: Payment information (if applicable)
  • Documents: Your uploaded documents

Updating Your Profile

  1. Navigate to My Profile
  2. Click the Edit button
  3. Update the allowed fields
  4. Click Save Changes
Limited Editing

Some fields may be locked and require HR or admin to update. Contact your administrator if you need to change restricted information.

Changing Your Password

  1. Go to My Profile > Security or Change Password
  2. Enter your current password
  3. Enter and confirm your new password
  4. Click Update Password

Profile Photo

  1. Navigate to My Profile
  2. Click on your current photo or the placeholder
  3. Upload a new image (JPEG, PNG, max 2MB recommended)
  4. Crop if necessary and save

Session Management

Active Sessions

View and manage your active login sessions:

  1. Go to My Profile > Sessions
  2. Review the list of active sessions (device, IP, last active)
  3. Click Revoke to end any suspicious session

Logging Out

  • Click your avatar and select Logout
  • For security, always log out when using shared computers

Notifications

Notification Center

Access the notification bell icon in the header to view:

  • Leave request approvals/rejections
  • Task assignments and updates
  • System announcements
  • Approval requests requiring your action

Notification Preferences

Configure which notifications you receive:

  1. Go to My Profile > Notification Preferences
  2. Toggle notifications for different event types
  3. Choose email and/or push notification delivery
  4. Save your preferences

Getting Help

In-App Help

  • Look for ? icons next to features for contextual help
  • Use the search feature to find specific functions
