Recruitment
This feature requires the Recruitment addon to be enabled. Go to Settings > Addons and enable Recruitment before using these features.
Recruitment provides tools for managing job openings, processing applications through a status workflow, and onboarding new hires. This guide covers all features available from the admin/HR perspective.
Job Openings
Navigate to Recruitment > Job Openings to manage your organization's open positions.
Viewing Job Openings
The job openings list displays all positions with the following information:
- Title
- Location
- Team
- Job type
- Experience level
- Status
- Closing date
Filtering
- Status Filter: Filter by Open, Closed, Draft, or On Hold
- Team Filter: Filter by team
- Search: Search by title or other fields
Creating a Job Opening
- Click Add Job Opening
- Fill in the required fields:
- Title: Job position title
- Description: Detailed job description
- Location: Work location
- Team: Assign to a team
- Job Type: Type of employment
- Experience Level: Required experience
- Skills Required: List of required skills
- Status: Set initial status (typically Draft)
- Closes At: Application closing date
- Save the job opening
Job Opening Statuses

Editing a Job Opening
- Find the job opening in the list
- Click Edit from the actions menu
- Modify the fields as needed
- Save changes
Job Applications
Navigate to a specific job opening and view its applications to manage candidates.
Viewing Applications
Each job opening has its own list of applications showing:
- Applicant name and contact details
- Application date
- Current status
- Resume (downloadable)
Application Status Workflow
| Status | Description |
|---|---|
| Received | Application has been submitted |
| Under Review | Application is being reviewed |
| Shortlisted | Candidate has been shortlisted |
| Interview | Candidate is in the interview stage |
| Offer Extended | A job offer has been sent |
| Hired | Candidate has accepted and been hired |
| Rejected | Application has been rejected |
| Withdrawn | Candidate withdrew their application |
Processing Applications
To change an application's status:
- Open the application from the job opening's application list
- Select the new status from the available actions
- Optionally add notes to the activity timeline
- Confirm the status change
Downloading Resumes
Click the Download Resume action on any application to download the applicant's uploaded resume file.
Adding Notes
Applications include an activity timeline where you can add notes at any stage of the review process. Notes are recorded with timestamps and the user who created them.
Hiring a Candidate
When an application is moved to Hired status:
- The system initiates the onboarding process
- A user account is created for the new employee
- An onboarding checklist is generated based on the configured onboarding tasks
- The new employee can then be activated with their shift, designation, role, and reporting manager assignments
Onboarding Tasks
Navigate to Recruitment > Onboarding Tasks to configure the tasks that make up the onboarding checklist for new hires.
Viewing Onboarding Tasks
The list displays all configured onboarding tasks with:
- Title
- Description
- Default due days (number of days after hire to complete)
- Task type
- Active status
Creating an Onboarding Task
- Click Add Onboarding Task
- Fill in the fields:
- Title: Name of the onboarding task
- Description: Details about what needs to be done
- Default Due Days: Number of days from hire date by which this task should be completed
- Type: The category of onboarding task
- Is Active: Whether this task is included in new onboarding checklists
- Save the task
Editing and Toggling Status
- Click Edit to modify an onboarding task's details
- Use the Toggle Status action to activate or deactivate a task without deleting it
Deactivating an onboarding task removes it from future onboarding checklists but does not affect checklists already assigned to existing employees.
